iX HR Employee Privacy Policy

1. Introduction

This Privacy Policy explains how IX Holding and the organization that gives you access to iX HR Employee handle information when you use the app and related services. iX HR Employee is a SaaS employee self-service platform used by organizations to provide HR services to employees and authorized users.

In many cases, your employer or organization determines why employee HR data is processed. IX Holding may process that information on the organization’s behalf as a service provider/processor and may process limited information for operating, securing, and supporting the service.

2. Information We May Process

Account and identity: name, employee ID, email, phone number, job title, department, organization, and authentication information.
Employment and HR data: attendance, check-in/check-out times, leave balances, leave and permission requests, deductions, approvals, request history, and other configured employee-service records.
Location: precise or approximate location when enabled and required for attendance verification.
Photos: attendance-verification photos, profile photos, and other photos you choose to capture or upload.
Files and attachments: documents or images you intentionally submit with HR requests or employee-service workflows.
Notifications: push-notification tokens and preferences needed to deliver notifications.
Device and technical data: app version, operating system, device type, IP address, security events, and technical logs that may be generated while using the service.
Support data: information you submit through support or the in-app Contact Us feature.

3. Biometric Authentication

If you enable Face ID, fingerprint, or another supported biometric method, biometric matching is performed by your device operating system. iX HR Employee does not receive or store your biometric template; the app receives only the authentication result needed to allow or deny local access.

4. How We Use Information

Authenticate users and maintain secure access.
Provide attendance, leave, requests, approvals, notifications, profile, and other HR self-service functions.
Verify attendance where location and/or photo verification is enabled.
Route requests to authorized managers or approvers.
Display HR and employee information according to assigned permissions.
Send operational notifications and request-status updates.
Protect, troubleshoot, support, and maintain the service.
Respond to support, privacy, security, and lawful requests.

5. Mobile Permissions

Location: attendance verification when required by your organization.
Camera: live attendance photos and other user-initiated photo features.
Photos/files: when you choose a profile image or attachment.
Notifications: request, approval, and employee-service updates.
Biometrics: optional local authentication on supported devices.

You can manage permissions in your device settings. Some features may not work if a required permission is disabled.

6. Sharing and Disclosure

Information may be available to your organization’s authorized HR staff, managers, administrators, and other permitted users. It may also be processed by service providers that support hosting, infrastructure, messaging, security, or technical operations, including Google/Firebase services used for push notifications. Information may be disclosed when required by law or necessary to protect users, rights, or the service.

iX HR Employee is not designed to use employee data for third-party advertising.

7. Data Retention

Employee and HR records are retained according to the organization’s instructions, contractual requirements, applicable employment and recordkeeping laws, and legitimate operational or security needs. Retention periods may differ by organization and data type. When data is no longer required, it may be deleted or anonymized unless continued retention is required or permitted by law.

8. Data Security

We use reasonable administrative, technical, and organizational safeguards intended to protect information from unauthorized access, loss, misuse, alteration, or disclosure. No transmission or storage method can be guaranteed to be completely secure.

9. Your Rights and Choices

Depending on applicable law, you may have rights to request access, correction, deletion, restriction, or a copy of certain personal data. Because employee HR records are often controlled by your organization, requests may need to be handled by your employer or organization.

You may contact your organization, use the in-app support/contact feature, or email tex@ix-holding.com. Some employment or legal records may need to be retained after an account is deactivated.

10. Account Deactivation and Deletion

iX HR Employee accounts are generally created and administered by the organization rather than by the employee directly. To request account deactivation or deletion of eligible personal data, contact your organization or the privacy contact above. Requests are handled subject to the organization’s instructions and applicable legal retention obligations.

11. International Processing

Depending on the organization’s configuration and service providers used to operate iX HR, information may be processed in countries other than the country where you work. Where required, appropriate contractual or legal safeguards should be used.

12. Children

iX HR Employee is a workplace application intended for employees and authorized organizational users. It is not directed to children as a consumer service.

13. Third-Party Services

The app may rely on Apple, Google, Firebase Cloud Messaging, operating-system services, and other infrastructure providers. Their handling of information is subject to their own terms and privacy practices.

14. Changes

We may update this Privacy Policy when the service, legal requirements, or data practices change. The updated version will be posted at this URL with a revised effective date.
