iX HR Employee Terms and Conditions


1. About These Terms

These Terms and Conditions govern your use of iX HR Employee, an employee self-service SaaS application provided by IX Holding for organizations and their authorized employees or users.

By using the app, you agree to these Terms and to applicable organizational and employment policies. If your organization has a separate agreement with IX Holding, that agreement may also govern the service and will control regarding the organization’s rights and obligations if there is a conflict.

2. Eligibility and Authorized Access

  • You must have a valid account issued or approved by an organization using iX HR.
  • You may use the app only for authorized work-related and employee-service purposes.
  • You must not access another person’s account or data outside your permissions.
  • Your organization may change, suspend, or revoke access, including when your role or employment status changes.

3. Account Security

You are responsible for keeping your credentials and device secure and should report suspected unauthorized access promptly. Optional biometric authentication may be provided on supported devices and is performed by the device operating system.

4. HR and Employee-Service Features

Depending on organization configuration and user role, the app may provide attendance check-in/out, attendance history, employee statistics, leave and attendance-related requests, manager approvals, deductions, notifications, profile information, authorized employee-directory information, and file/image attachments. Features may vary by organization, country, subscription, configuration, and role.

5. Attendance Verification, Location, and Photos

If enabled, the app may request device location and/or a live photo to support attendance verification. You must not falsify, manipulate, spoof, or misrepresent attendance, location, photos, times, or other records. Your organization’s policies and applicable employment rules determine the official effect of attendance records, corrections, payroll consequences, and disputes.

6. Requests and Approvals

Submitting a leave, permission, attendance-related, or other HR request does not mean it is approved. A request becomes effective only after the approvals required by your organization. Statuses displayed in the app should be read with your organization’s HR policies.

7. Accuracy of Information

You must provide accurate information. If you believe employee, attendance, deduction, leave, or other HR data is incorrect, notify your organization through its HR or support process. IX Holding provides platform technology, while the organization is generally responsible for the accuracy and administration of its HR records.

8. Acceptable Use

You must not use the app unlawfully or fraudulently; bypass authentication, permissions, attendance controls, or security features; interfere with or disrupt the service; upload malware or infringing content; use another employee’s identity or credentials without authorization; or copy, scrape, export, or disclose employee information unless authorized.

9. User-Submitted Content

You retain rights you may have in documents, photos, text, or other materials you submit. You grant your organization and IX Holding the limited rights necessary to host, process, transmit, display, secure, support, and administer those materials for the service. You are responsible for ensuring that submitted materials are appropriate and authorized.

10. Intellectual Property

The iX HR platform, application software, interface, branding, logos, documentation, and related technology are owned by IX Holding or its licensors, except for content owned by customers, users, or third parties. These Terms do not transfer ownership of the platform or grant rights to use IX Holding branding outside the service.

11. Privacy

Use of the app is subject to the iX HR Employee Privacy Policy. Your organization may also provide employee privacy notices that apply to its processing of employee information.

12. Notifications

The app may send operational notifications relating to requests, approvals, attendance, account security, and employee services. Delivery is not guaranteed and may depend on device settings, connectivity, operating-system services, and third-party notification providers.

13. Third-Party Services

The app may rely on third-party operating systems, cloud infrastructure, messaging services, and device capabilities. Their availability and operation may be governed by separate terms.

14. Availability and Changes

We may maintain, update, improve, replace, suspend, or discontinue features when reasonably necessary. The service may occasionally be unavailable because of maintenance, connectivity, third-party services, security events, or circumstances outside reasonable control.

15. Suspension and Termination

Your organization or IX Holding may suspend or restrict access when reasonably necessary for security, legal compliance, suspected misuse, contract administration, or changes in authorization. Your organization may deactivate your account when employment or authorization ends.

16. Disclaimers

To the maximum extent permitted by law, the service is provided on an “as available” basis. IX Holding does not warrant uninterrupted or error-free operation and is not responsible for employment, payroll, disciplinary, tax, or legal decisions made by your organization under its own policies or records. Nothing in these Terms excludes rights that cannot legally be excluded.

17. Limitation of Liability

To the maximum extent permitted by law, IX Holding will not be liable for indirect, incidental, special, consequential, or punitive losses arising from use of the app. Liability relating to an organization’s subscription or use of the SaaS service may also be governed by the agreement between IX Holding and that organization.

18. Organization Agreements

If your organization has a SaaS, services, data-processing, or other commercial agreement with IX Holding, that agreement governs the organization’s use of iX HR and may include additional terms on service levels, data processing, security, fees, liability, and governing law.

19. Changes to These Terms

We may update these Terms to reflect changes in the service, law, security requirements, or business operations. Updated Terms will be posted at this URL with a revised effective date.
